Facility management teams rarely need one radio model for everyone. They need a planned system built around the way a building actually runs: engineering and HVAC staff working in loud mechanical spaces, janitorial and EVS crews moving floor to floor, security and lobby staff at fixed posts, grounds crews outside, and an FM lead who has to reach all of them without walking the building.

Short answer: Start from the roles that keep the building running, not from headcount. Decide how far communication has to reach, one floor, one tower, a whole campus, or several sites. Then check the three places facilities always lose signal: mechanical penthouses, elevator machine rooms, and below-grade levels. Facility management or property management, which guide do you need?

The two overlap, but they buy differently. Use whichever description fits your day.

  • Facility management is about the building and its systems: engineering, HVAC and mechanical, janitorial and EVS, life-safety testing, work orders, and vendor coordination. Commercial offices, institutional buildings, campuses, and mixed-use facilities sit here. That is this guide.

How many radios does a facility operations team need?

Size the fleet by function, not by staff roster. A radio that belongs to the on-duty engineer, the day porter, or the lobby post stays useful through shift changes, callouts, and turnover.

These are planning ranges, not purchase requirements. Construction type, ceiling heights, below-grade levels, shift structure, and the equipment you already own all change the final recommendation.

Match the radio to the facility role

Engineering, HVAC, and mechanical staff

This group works around chillers, air handlers, pumps, and generators, and drops radios on concrete. Prioritize durability, loud and clear audio, and battery life that covers a full shift plus a callout. The Motorola R2 and Motorola BPR50dX are common choices; larger buildings often standardize on the Motorola R7.

Janitorial, EVS, and day porters

Crews spread across floors need light radios with simple controls and enough channels to stay out of engineering traffic. The Motorola CLS1410 and Motorola CP100d fit this role well, and the license-free Motorola CURVE DLR110 works for smaller single-building sites.

Security, lobby, and front-of-house

Grounds, parking, and outdoor crews

Distance and weather matter more than anything else here. Digital radios such as the R2 and R7 hold audio quality at the edge of a site better than analog models of the same power.

FM leadership across buildings or sites

The Motorola TLK110 uses WAVE PTX service over LTE so directors and regional FM staff at different buildings share one push-to-talk system. The Motorola TLK150 is the mobile version for trucks and carts. Both require a service plan.

Radios in mechanical rooms and other high-noise spaces

Sound level is the difference between a facility fleet and an office fleet. A chiller plant, boiler room, or rooftop unit can drown out a radio that works perfectly at the front desk.

Mechanical rooms are the loudest place in the building. A remote speaker mic and hearing protection matter more than extra wattage.
  • Choose loud, well-rated speakers. Digital models such as the R2 and R7 keep audio intelligible where analog audio degrades into noise.
  • Add an audio accessory, not just volume. A remote speaker microphone worn at the shoulder is more effective than turning a belt-worn radio up.
  • Protect hearing first. In spaces where hearing protection is required, plan headsets that work with the protection rather than around it.
  • Check dust and moisture ratings. Mechanical rooms, roofs, and loading docks are harder on a radio than an office corridor.

Does facility management radio use require an FCC license?

It depends on the radio, not on the industry. Most UHF and VHF business radios operate on frequencies licensed under FCC Part 90.

  • License-required radios: UHF/VHF business models such as the CP100d, CLS1410, R2, BPR50dX, and R7 generally need an appropriate business-radio license and programming for your authorized frequencies.
  • Subscription-network radios: the TLK110 and TLK150 use WAVE PTX service and do not require a separate FCC radio-frequency license.
  • License-free alternatives: certain 900 MHz radios such as the CURVE DLR110 can be license-free, but confirm coverage in your building before standardizing on them.
Do not guess at frequencies. A facility that inherited radios from a prior vendor or a previous management company often has undocumented programming. Hazardous locations: when a facility needs an intrinsically safe radio

Most commercial buildings do not need intrinsically safe equipment. Some facilities do, fuel storage and dispensing, solvent or paint handling, certain laboratory and process areas, and any space your safety program has classified as hazardous.

Where that applies, a standard business radio is not an acceptable substitute. An intrinsically safe radio is certified so it cannot ignite a flammable atmosphere, and the certification only holds with the matching approved battery and accessories. A facility operations channel plan

A channel plan keeps a stopped air handler from competing with a spill cleanup or a lobby incident. A workable starting structure looks like this:

CTCSS and DCS tones reduce unwanted audio from other users on the same frequency, but they are not encryption and do not make a channel private. Facilities that need protected traffic should discuss digital privacy and encryption during system design.

Where facility radios lose coverage

Coverage problems come from construction and layout, not from the range figure on the box. Walk-test the places staff most need to be reachable:

Basements, elevator shafts and parking levels are where coverage dies. Walk them with a demo radio before committing.
  • Mechanical penthouses and roofs: often the farthest point from everyone else in the building.
  • Elevator machine rooms and elevator cabs: metal enclosures are among the worst spots in any facility.
  • Below-grade levels, tunnels, and crawl spaces: concrete and earth attenuate handheld signal heavily.
  • Stairwells, shafts, and chases: dense construction creates isolated dead zones between floors.
  • Loading docks and back-of-house corridors: steel, traffic, and noise together.

What two-way radios do not replace

Radios shorten the time it takes to get the right person to a problem, an alarm, a leak, an entrapment, a medical call, a trespass. They are not a substitute for 911, a monitored fire alarm or sprinkler supervisory system, an elevator emergency phone, an access-control system, a building automation or BMS alarm path, or a monitored lone-worker duress service. They also do not replace your CMMS or work-order system: a radio call still has to be logged. Plan radios alongside those systems, not in place of them.

Loaner radios for contractors and vendors

Facility teams hand radios to people who do not work for them, fit-out crews, elevator and fire-alarm technicians, roofers, and moving companies. A small loaner pool keeps that from disrupting the operating fleet.

  • Keep loaners on their own channel. Channel 6 in the plan above exists for exactly this.
  • Sign radios in and out. Record serial number, company, contact, and date. It is the only reliable way to get them back.
  • Standardize the loaner model. One inexpensive model with matching batteries and chargers is far easier to support than assorted spares.
  • Brief the escort rule. A vendor with a radio is still a vendor, the radio does not grant unescorted access.

How to manage the fleet after installation

  • Assign radios by post. Number them to the on-duty engineer, day porter, and lobby desk rather than to individual employees.
  • Use centralized charging. Multi-unit chargers make it obvious at a glance whether every radio came back at shift end.
  • Keep an inventory log. Model, serial number, assigned post, battery condition, and repair history.
  • Test at shift handover. A short radio check catches a dead battery or damaged antenna before it matters.
  • Review annually. Renovations, tenant fit-outs, added buildings, and staffing changes all create new coverage requirements.
