Events are the hardest communication problem in this catalog, and the shortest. A conference, festival, or race builds a temporary organization in a space nobody works in daily, runs it for hours or days with staff and volunteers who may have met that morning, and then takes it down. There is no time to troubleshoot coverage and no second chance on a gate call. The right fleet is the one that is charged, labeled, programmed, and understood before the doors open.
How many radios does an event need?
Count the functions that must always be reachable, gate, stage, security, medical, production, vendors, parking, and give each one a radio before you give anyone a second one. Events fail on missing functions, not on missing people. Then add spares: at an event, a dead radio cannot wait for the next shift.

These are planning ranges, not purchase requirements. Indoor versus outdoor, the number of buildings, whether the site includes a parking lot or campground, and how many hours the event runs all change the final recommendation. A 1,500-person conference in one hotel needs a very different fleet from a 1,500-person street festival across four blocks.
Choose radios by event role
Front of house, registration, and hospitality
Guest-facing staff need a radio that disappears. Weight, size, and a discreet earpiece matter more than range or channel count, and a radio clipped visibly to a host's belt changes how the event reads. Production, stage, and AV
Production crews run to a cue sheet and need to confirm they are on the right channel without asking. A display radio makes that possible during a changeover. Security, crowd, and parking

Small events, pop-ups, and license-free setups
For a genuinely small footprint, a license-free radio removes the FCC question entirely. The Motorola CURVE DLR110 operates on license-free 900 MHz, is quick to hand out, and needs no licensing or programming before an event. It is the right answer for a pop-up, a wedding, or a single-room event, and the wrong answer for a festival site.
Should you rent or buy event radios?
This is the question most event buyers actually have, and buying is not automatically the answer. The deciding factor is how often the event repeats.
- Rent for a one-off event, a seasonal peak, or a headcount spike you will not repeat. Renting avoids owning radios that sit in a closet for eleven months, and it avoids you holding the FCC license for a site you will never return to. TWRG rents Motorola TLK100 WAVE PTX radios for short-term use.
- Buy when the event recurs, when you run several events a year, or when the same team needs radios between events. Past roughly two or three events a year, purchase usually costs less than repeat rental, and you keep the programming and channel plan you already trained people on.
- Mix when a core team owns radios year-round and the event scales up. Buy the fleet you use every week and rent the surge for the weekend. This is the most common pattern for venues and production companies.
Do event radios require an FCC license?
It depends on the type of radio, not on the type of event. Most UHF and VHF business radios operate on frequencies licensed under FCC Part 90, and a temporary event does not exempt you.
- License-required radios: UHF and VHF business radios on licensed Part 90 frequencies, including the SL300, R2, CLS1410, and CLP1080e. These need an appropriate business-radio license and programming for the frequencies you are authorized to use.
- License-free radios: the CURVE DLR110 operates on license-free 900 MHz and needs no FCC license, which makes it the fastest legal option for a small event.
- Subscription-network radios: TLK110 and TLK25 radios use WAVE PTX service over LTE and need a service plan rather than a separate frequency license.
A practical event channel plan
One shared channel works until the first incident, when routine vendor chatter buries a medical call. Separating traffic is the single highest-value thing you can do before doors open. A typical structure looks like this:

Write the plan on a card, tape it to every radio, and brief it at the staff meeting. Volunteers will not remember a channel list they heard once. CTCSS and DCS tones reduce unwanted audio from other users on the same frequency, but they are not encryption and do not make a channel private, assume anything said on the net can be overheard.
Where event radios lose signal
Coverage problems come from the site, not from the radio's advertised range, and event sites are unusually hostile because the layout changes between the site visit and the event itself.
- Back of house and service corridors: concrete, elevator shafts, and plant rooms cut coverage in exactly the areas production staff use most.
- Basements, loading docks, and underground parking: common dead spots in hotels and convention centers.
- Tents and temporary structures and structures added after the site visit: staging, scaffolding, and vehicles change the site between your walk test and the event.
- The far edges of an outdoor site: remote parking lots, campgrounds, and gates are routinely outside handheld-to-handheld range.
- A crowded room versus an empty one: several thousand bodies absorb signal. A hall that tested clear at setup can behave differently at capacity.

Batteries, charging, and multi-day events
More event radios fail from flat batteries than from anything else. A radio issued at 8am on a two-day festival will not survive to the end of day two.
- Plan a charging point in production. Multi-unit chargers at a staffed location let crew swap on a break instead of leaving the net.
- Budget spare batteries, not spare radios. Spare batteries are cheaper, lighter, and solve the more common failure.
- Number and sign out every radio. An issue log with name, function, and channel is how you get the fleet back at load-out, losses spike at the end of an event, not during it.
- Program and label before the event. Radios should arrive on site with the channel plan loaded and the function written on the case.
- Brief volunteers on plain-language use. No radio codes. Say the function, say the message, release the button.
Radios and event safety
Two-way radios are how an event team coordinates during an incident, but they are not a crowd-management or mass-notification system, and they do not replace a monitored alarm, a PA or voice-alarm system, or a call to 911.
- Define in writing who calls emergency services and who runs the radio net during an incident.
- Reserve the command channel for urgent traffic and keep vendor and production chatter off it.
- Include radios in the event safety brief and in any evacuation rehearsal.
- Make sure security, medical, and the venue's own staff can reach each other, a separate venue radio system that your team cannot talk to is a known failure point.
- Agree a plain-language phrase for "stop and listen" so the command channel can be cleared instantly.
